Hello Beautiful Gala Cast!
I can’t believe the Gala is just 9 days away! We got this! I’m so excited to see everything come together!
Below are important details for next week:
Tech rehearsals are scheduled Wednesday 12/6, Thursday 12/7 and Friday 12/8 from 5pm-9pm.
Please arrive with your unders on underneath your clothes and with your hair and makeup done. (Everyone will need basic stage makeup and hair styled away from the face. If you know you wear a hat in the performance, please style your hair accordingly).
Enter through the MPR door (Lovegood’s main door); we will gather upstairs in the sanctuary.
Everyone will need a method to keep personal belongings, any additional costumes, water, etc. contained and tidy backstage. This could be a small plastic tub (“show box”), cardboard box, or large bag.
We will stage “You’ll Never Walk Alone” on Wednesday :)
An FYI, on Thursday we are hoping to have a photographer on site to capture some lovely action shots of the performance.

Hello! Below you will find the gala rehearsal schedule detail. Please email Grace if you have any questions: grace.thompson@lovegood.company.
With the exception of the full company vocal rehearsal, time will be largely focused on choreography & blocking when we’re together for times’ sake. It will be greatly beneficial if you can come to these rehearsals being familiar with your vocals so we can hit the ground running. Sheet music will be provided to you ahead of rehearsals via the callboard.
As with any production, it will be necessary that you put work into rehearsing your numbers on your own time after you have worked with Grace.

Below is who I need to see a little more from Thursday (9/21) evening in order to navigate the casting puzzle. If you don't see your name below- don't fret! It simply means that I am confident in where you'll fit based on your audition.
Please plan to arrive a few minutes before your call time. This will be a vocal/acting callback.
We will have classes running in the MPR (where you checked in with Ryan tonight) and there will be signs directing you to enter via the breezeway doors. We will run callbacks upstairs on the stage!

Virtual Auditions
While in person auditions are preferred, if you have a non-negotiable commitment that keeps you from auditioning in person, we will be accepting virtual auditions.

Voice Materials
Audition:
Prepare 32 bars of any Golden Age of Broadway (1943-1964) musical theatre song. Choose a song that excites you as an actor. This should be approximately 1 minute long. You may use a background track or have an accompanist for your audition. You may not sing a capella.
Submit a video of you performing your audition, starting with your slate. (A slate is you announcing your name, age and the song you will be singing along with what musical it is from). Be sure to watch the video before submission to ensure that your voice can be clearly heard and is not overpowered by the volume of the background track.

Virtual Callbacks
Callbacks will be Thursday, September 21 from 7pm-9pm. If you are selected for a virtual callback the team will reach out with a time and a google meet link.

What to Prepare and Bring to Your Audition
Please make sure you have completed all required forms and either made an appointment or submitted your virtual audition materials on or before 11:59 pm, Monday, September 18. We know there is a lot of stuff to prepare and bring with you to auditions. Please reach out if you need help or have questions!
Song Selection
We want you to be comfortable at auditions!

In person auditions are preferred. Here are the details for an in person audition:
Bring sheet music that is clearly marked with your audition cut and be sure that your music is in the correct key as our accompanist will not transpose on the spot

A cappella music will not be considered for an audition
What to Wear
Wear clothes that are professional, comfortable, and that you can move easily in. Please keep your hair tied back away from your face. If you are clean, comfortable and looking your best, you are ready to go! We will be taking a head shot of you when you arrive.
Your Day of Audition Checklist
RESUME: bring a printed resume. If you have any performance experience, show or otherwise, we ask that you provide a resume, this is particularly helpful if you have extensive dance training, vocal training, or can juggle five wuzzles. If you don’t have any performance experience, you may skip this step.

Callback Auditions:
Callback will be by invitation only Thursday, September 21, from 7pm-9pm.
The callback list will be posted to this callboard at approximately 12 am Thursday, September 21. Because of the way that our automatic email notifications work, you won’t receive an email about the callback list until 4pm, but the information will be here on the callboard.
For any students in Lovegood Thursday evening classes, we will coordinate your callback, if any, around your class schedule.
Closed Auditions
Auditions and Callbacks will be closed, however, parents of younger students may wait in our waiting room while their student auditions. There will not be a waiting room for callbacks. Students will need to leave when their audition or callback is completed.

Audition Forms
In order to audition, everyone must complete the following steps on or before 11:59pm on Monday, September 18:
Mailing List. We will be using software to automate callboard post emails. If you are new to theater, the callboard is the website we use to communicate important details with cast and crew during the show process. We will use the email address(es) listed on the Audition Form to email you call board updates. In order for this process to work, the email address(es) on your Audition Form need to be on our mailing list. If you do not know if your address is on our list, you can sign up here. (If you get the emails announcing when class registration opens, or tickets go on sale, you are already on the list). Regardless of whether you choose to join the mailing list, you will be responsible for all information posted on the callboard.
Audition form. Please complete our Audition Form. Once we process your form, you will receive a copy via email. Please review it, particularly the conflicts section, and verify that all information is complete. Please note if you are under age 18, your parent/guardian must also review the form. You will be asked to respond to the email with the form to verify it is correct. Make sure ALL CONFLICTS are listed on the Audition Form. Students with conflicts for the performance will not be cast.
Students who are auditioning in person, will need to make an Appointment for an in person Audition. Click HERE to make your appointment for an in person Audition.
Appointment slots are 5 minutes long. That is your check in window. The entire process, including check in, the audition, and check out is usually approximately 15 minutes.
If you don’t see any slots, please make sure you navigate the calendar to September 20 (by default the view starts at today).
Note that you will need to be logged into a google account to book your own slot. If you do not have a google account and you do not want one, you can email angela.russell@lovegood.company with your preferred slot time and we will put you on the schedule.
Auditions will be held on Wednesday, September 20 at Lovegood Performing Arts Company 16260 NW Bronson Road, Beaverton, OR 97006. Appointments must be made by 11:59pm on Monday, September 18.
Please do not sign up for a slot until you have reviewed all the audition information and completed steps 1-2 above.

Crew Application
If you want to be part of the magic but don't want to be onstage, there is another way! Come join Crew for our 2023 Gala. We are accepting application from students aged 12+!
Each crew member is essential to the success of every Lovegood show. Once tech rehearsals start everything is student run, overseen by our on-staff production manager. All staff provide a safe and educational environment during rehearsals and tech week before handing ownership over to the students, who see the show to its close.
Run crew, (sometimes called backstage crew, or backstage ninjas) is crucial to the success of a show, they keep it running smoothly and safely. They are in charge of moving scenery, keeping track of props, costumes, assisting actors and even operating lighting and sound systems. They power the magic for each production!
Your time commitment will vary from high to low depending on what job you have. Please see our crew application for all of the different ways to be involved!

Crew Time Commitment
It's important to understand that being selected for Crew is a privilege. All crew positions are important to the success of the show. If you are selected, you will be required to attend all rehearsals and performances that you are called for. Please review the schedule before proceeding.
Tech & Dress Rehearsals:
Tuesday. Dec.5 through Fri. Dec. 8 from 5pm - 9pm
For the Performance:
Crew students may have varying Call times for performances, based on their Crew assignment. The earliest Call time would be 1.5 hours prior to the performance time. The performance is at 7pm on Saturday, December 9.

This year’s gala will consist of 10 musical theatre numbers. Those in the cast will be involved in a minimum of 1 up to 5 numbers.*(subject to change dependent on cast size).

REHEARSAL BLOCKS: Not every person will be called to every rehearsal. Unless you list it as a non-negotiable conflict on your audition form, you will be expected to be at all rehearsals you are called to. Our rehearsal blocks will be as follows:
Wednesdays 5pm-9pm: October 4, 11, 18 and 25; November 8, 15, and 29.
Saturdays 3pm-7pm: October 7; November 18 and 25.
TECH REHEARSALS: All cast and crew will be expected to be at all tech rehearsals. Tech rehearsals will be from Wednesday December 6 - Friday December 8, 5pm-9pm.
PERFORMANCE: Saturday, December 9, 7pm. Call Time TBD.
Introduction from the Director
Lovegood’s second annual gala is officially in the works and we want you to join us on stage!
This year we will be taking our audience through an evening of classic, beloved musical theatre numbers, as well as some hidden gems, from the Golden Age of Broadway.
Our gala audience will be largely composed of donors and we are aiming to show them who we are and what we do at Lovegood. I have created a lineup of numbers from the Golden Age era that exemplify the pursuit of love and a sense of belonging that I believe we all search for in our lives. Although this is a revue style performance, we will have a loose storyline to tie everything together, exploring the question: where is love?
I am excited and honored to be your director; I hope you will join me in creating this gift for our audience and celebrating our community!
